How to get out of overwhelm as a coach -

Jun 21, 2024

Many coaches I've spoken to are feeling pretty overwhelmed with all of the tasks they have to do.

It's not easy to determine whom their ideal client is.

There are too many deals.

They try too many different things to attempt to create attention and lead.

There's no clear way they can enroll individuals into their program.

There are too many applications that require them to bond with the use of rubber bands and zaps.

They are too focused on their clients to eventually burn out, even though they are passionate about their coach.

Are any of these topics in tune with you?

There are three types of overstress that I regularly witness coaches struggle with:

Overwhelming strategy

Overwhelmed Client

Systems overwhelm

Let's look at them one at a time.

Strategies Overwhelm

When it comes to strategies, the majority of coaches have too many offers, they're trying to do too many things in order in an effort to get the attention of leads and gain their interest, and often they can't decide about which kind of client to go after.

There's also a lack of clarity on how they want to sell to draw customers to sign up for their programs.

Now, in the beginning you'll be experimenting. That's okay.

But you really want to nail those Five Ones.

Five Ones: The Five Ones say that if you concentrate only on...

One avatar

One source of traffic

One deal

One enrollment mechanism

One year

You can hit a million dollars of revenue.

If you're not at the million dollars and you've reached your million dollar mark, do not even consider creating a second avatar, a different traffic source, another advertisement, or even a different enrollment method.

Coaches who don't make the amount they'd like think they need to add more offers as well as more items, avatars, more traffic sources ... all in an effort to broaden their market so they can draw in more customers.

In the opposite actually the situation.

It is important to narrow your search. You must be precise. Choose.

It's not about making the correct decision.

It's all about making a choice to make it the right one, and getting it done.

You can make any of them function.

Pick one, and stick with it, till you reach the million dollar mark.

I am aware of how difficult this can be.

With the right guidance and direction, you are able to do any succeed.

If someone else has succeeded in this way, then it's possible.

It's then a matter of figuring out the details.

Client Refusal

As much as we coaches love coaching and love our clients, sometimes it can be too much.

When you're doing lots of one-on-one work with clients, it's not hard to become exhausted.

You're constantly saying the same thing time and time again.

You know this feeling of incredible energy flow out of your mind during a client session, and I don't even know where it came from. The sensation is incredible!

But now you're bummed that more people won't have the opportunity to listen to your dazzling story since you're speaking this in a private 1:1 conversation!

Some coaches not only do the work in a 1:1 manner, but they're working on behalf of the clients. It's a done-for-you model.

And yes, you can boost your prices so that you get paid better to coach and maybe take on fewer clients.

But it's fundamentally not scalable.

The most scalable method is to do group coaching.

Create a group plan in which you collaborate with your customers simultaneously.

The template, the framework as well as live group coaching and a community.

They get not just you however, they also gain one another.

That means that when the number of customers grows, so does the worth of your program.

If you're currently not doing group coaching, or if a group-coaching program is not the core of your business, then this should be the first thing you consider, and it should definitely be the "One deal" of your Five Ones.

Systems overwhelm

It's pretty common these days to have the following: five (or seven), nine, or even more different tools to manage your coaching company.

Webhosting similar to Wordpress or Wix

Software for marketing emails or ESP (Email Service Provider) like MailChimp or ConvertKit

Shopping cart similar to Shopify or Samcart

Course platform or LMS like Teachable or Kajabi

Video hosting such as Vimeo or Wistia

Funnel software or page builder such as LeadPages or ClickFunnels

Software for community such as Circle or MightyNetworks

Scheduler like Calendly or SavvyCal

Survey tool similar to TypeForm or SurveyMonkey

Affiliate tracking tool like Tapfiliate or Post Affiliate Pro

Pipeline for Sales similar to Pipedrive or Close.com

CRM like Hubspot or Ontraport

Zapier to join them all together!

There's a bit of overlap in this list since some of these tools do more than one thing.

There are other terms that are often used and I didn't list.

It gets quite long fairly quickly.

It not only adds the cost of a monthly bill.

This also means a lot of mental bandwidth for you.

There's first the issue of fatigue from deciding on all of these options.

For each category listed, there are numerous alternatives, and they each have the advantages and disadvantages Some are in multiple categories.

It is important to test them in all of them, before deciding the best one to use Then figure out what they'll do when integrated with the other stacks you have.

It's then time for the connection.

Are they able to speak natively each other, or are you required to utilize Zapier in order to "zap" them together?

It's another issue and the connections are brittle.

They'll break, especially during your vacation and it's your responsibility (or your staff if they have one, and if they're able to solve the issue) and to make it right.

Then there's the mental bandwidth of switching between programs, with each performing things in a different way.

It causes lots of context switching in which you must change your working style each and every minute.

If your logo is being uploaded on more than 4 different sites you might want to consider a better alternative.

With NO zaps.

No glue.

There are no rubber bands.

Everything you need to run your business from one place.

Like finding your home on the border.

And all the parts talk seamlessly with each other.

Your clients only have to enter their information one time, and you'll already have their information within your database.

It is possible to connect the opt-in form and have them schedule an appointment with you to discuss strategy.

Easy. Clean. Simple.
